Q. How does the Safe Workplace Docs (SWD) app work?
A. SWD offers users a number of Generik templates commonly provided for health and safety purposes in the workplace. Each template provides users with text fields, drop downs, photo capturing and recording of signatures and many more features. Once populated by the user they can save the doc as a draft (which leaves the template in an editable version) or finalise the doc (the document creates a .pdf non editable version of the document). To proceed with this process you will be provided with an in-app purchase using the your Apple or Google Play account to make a purchase.
Q. What makes us different from our competitors?
A. All docs can be accessed anytime, anywhere even without mobile coverage using our offline mode. Members of the service can create new versions of the existing doc by accessing them through the docs folder.
There are two primary folders that the user can access within the app, these are the Template’s folder and the Docs folder. The Template’s folder is where users can access a range of templates that suit your needs. These are predetermined templates which users can choose which fields they require input. The Docs folder is where users can access all doc types that have been created. Docs are housed in this folder to allow for editing, emailing, storing and accessing the docs for future use.
Q. What is the difference between a Draft and a Finalised Doc?
A. A Draft doc is a template that is a work in progress doc the user will come back to update before the final doc is written. This doc can be edited within the original version and has a 30 day storage lifespan unless the user decides to finalise the doc or holds a subscription.
A Finalised doc is a template that has been finalised where the content in the doc is uneditable .pdf in the version in which it was created. This doc can be accessed anytime, anywhere and has the ability to be issued off via email to other third parties if desired. If the user needs to make an edit to the doc the can create a new version within the docs folder.
Q. What in-app purchases are available?
A. There are two payment options available which are Pay as you go (PAYG) and Month subscription (member service). The PAYG service allows users to pay for individual finalised docs as many times they like for the payment option price outlined in our Payment Options tab on the menu screen. The subscription service we offer provides members with unlimited access to all features of the app for a small monthly fee. Some of these features include: offline access to processing finalised docs, store draft templates for greater than 30 days and lots more (refer to our payment options page for more details).
Q. How do I subscribe/unsubscribe?
A. Users can subscribe as a member of the service in a number of ways:
To subscribe simply press the subscribe button during the payment process or click subscribe in your Account Profile page.
To unsubscribe, go to your iTunes account or Android account page where subscriptions are managed or click on unsubscribe in the Account Profile page which will take you there directly. Your subscription will cease at the end of the monthly cycle.
Q. How long does does Safe Workplace Docs store my data for?
A. Draft Docs – Pay As You Go
All draft docs for non-subscribers will be deleted after 30 days. App notifications will inform the user of expiring draft docs 10 days, 5 days and 1 day before deletion.
Draft Docs – Subscription
All draft docs for current paying subscribers will be deleted after 2 years. App notifications will inform the user of expiring finalised docs 30 days, 10 days, 5 days and 1 day before deletion.
Finalised Docs – Subscription
All finalised docs for current paying subscribers will be securely stored for the duration of their subscription. If a paying subscriber chooses to unsubscribe then their account will revert to a ‘Pay As You Go’ non-subscriber account and any existing finalised docs will have their doc information and any attachments saved for 2 years from the date they unsubscribed. App notifications will inform the user of expiring finalised docs 30 days, 10 days, 5 days and 1 day before deletion.
Q. What does the DN number mean in the top right hand corner ofthe template/doc?
A. Each doc contains a unique number identifying it. This document identification number includes a user id number that is not referenced anywhere else.
Q. I have forgotten my password, how can I reset it?
A. You can reset your password by clicking on the ‘Forgotten Password’ link on the login page or if your already logged in youcan set a new password from the ‘Account profile’ page.
